Add workers with a JSON file
Prepare additions as a separate file for each service, then upload to the NQA IT System. Complete updates and departures in the portal and record them in Koora.

- Who needs to be included?
- The National Early Childhood Worker Register covers people engaged in relevant education and care roles at approved services, including educators, non-educator staff and labour-hire workers. Visitors are excluded. Check ACECQA’s role guidance and your state’s requirements; the register is not yet mandatory in Western Australia.
- Who completes the reviews?
- Your approved provider or nominated supervisor (AP/NS) sights the required evidence. Koora brings the credentials into the review workflow and records who reviewed them and when. The sighting and legal responsibility stay with your service.
- How do additions, updates and departures work?
- Download the additions JSON for each service, upload it to the NQA IT System and mark the workers as added in Koora. Make updates and record departures in NQA ITS, then record completion in Koora. Downloading a file does not complete the task, and Koora does not submit directly to NQA ITS.
- What needs attention within 14 days?
- Under the national requirements, worker starts, departures and changes to roles or recorded details must be entered within 14 days. Koora tracks addition and credential or name-change work and shows departure tasks. Your service remains responsible for completing every required update on time.
- Is this included, and who receives reminders?
- The NECWR workflow is included on every Koora plan for eligible Childcare services. Choose who manages the schedule and who can review in Worker Screening & Register Updates settings. Scheduled summaries include outstanding NECWR work for authorised reviewers, alongside relevant screening tasks and notices. Forwarded-email notifications arrive independently of that schedule.

Prepare a CSV file in Koora to upload to Working with Children Connect, available from 19 October 2026. Your team uploads the file and records the outcome in Koora. Keep track of starters, departures and name changes in the same place.

Use your NDIS Worker Screening Database account for the worker’s verification and link. Keep the completed action recorded alongside their evidence in Koora.

Link workers in your Blue Card Organisation Portal account. Koora shows the applicable starter and departure work, with the details your team needs.

Check the card and register your cardholders
Use WA’s public validity checker and record the status review in Koora. Register existing cardholders and report departures through WA’s separate form, which also accepts its own Excel template. Koora currently records the status review; employer registrations are managed with WA.

Check registration and keep employer details current
Check the worker’s current registration through Tasmania’s checking tool or Employer Portal. Add your employer details and remove them when the worker leaves. Koora currently records the status review; employer details are managed with Tasmania.

Check the clearance and record the result
Open the NT validity checker from the worker’s review in Koora. Use their name and clearance number or date of birth, compare the result with their record and record your decision. Koora keeps the review outcome alongside the credential.

Keep important notices
out of scattered inboxes.
Set up forwarding from the inbox that receives your screening registration and status updates. Koora notifies your team when a forwarded email arrives, so you can review it and act from the Compliance queue.
Get your organisation’s forwarding address in Worker Screening & Register Updates settings, then add it to your email forwarding rule. You can also record a notice yourself.
A person checks the match
Koora looks for a matching worker in the forwarded email. Your team confirms the match or chooses the worker and credential. Changes for several workers are recorded separately.
Your review changes the record
Receiving an email alone does not change a credential’s status. An authorised reviewer checks the notice and records the outcome, or records why no action is needed.
Weekly or fortnightly reminders bring outstanding register tasks and notices back to the people with permission to act.
