The rule: 14 days, and two ways the clock starts

The National Early Childhood Worker Register became operational on 27 February 2026, and approved providers had until 27 March 2026 to enter their full current workforce. Since then the National Regulations set two clocks, as ACECQA and the Education Standards Board SA set out:

  • within 14 days of a worker being employed, engaged or appointed, and
  • within 14 days of becoming aware of any change to a worker’s information.

ACECQA’s operational policy guide adds that new qualifications or training are updated within 14 days of completion, once the approved provider or nominated supervisor has sighted them.

Each event runs its own 14 days. A new educator, a renewed Working with Children Check and a legal name change are three separate deadlines, so a service with a busy roster can have several open at once.

  • New starter: 14 days from the day they were employed, engaged or appointed. Add the person, their role and start date, and their sighted qualifications, training and Working with Children Check.
  • Credential renewed: 14 days from completion, or from when you became aware of a renewed check. Update the record with the sighted evidence.
  • Name or detail change: 14 days from when you became aware. Update the worker’s recorded details, such as a legal name or role.
  • Worker left: 14 days from when you became aware. Record the end date of their engagement.

Your approved provider or nominated supervisor (AP/NS) sights each credential before it is recorded, and the register keeps the date sighted and who sighted it. Updates are made in ACECQA’s National Quality Agenda IT System (NQA IT System).

Common questions

How long do I have to update the Worker Register?
14 days, and the clock depends on what happened. A new worker goes on within 14 days of being employed, engaged or appointed. Any change to a worker's information, such as a departure, a name change or a renewed check, goes on within 14 days of you becoming aware of it. ACECQA's guide adds that new qualifications and training are recorded within 14 days of completion, once sighted.
Does the 14 days include weekends?
The rule is expressed in days, not business days, so this tool counts calendar days, weekends and public holidays included. If you are unsure when the clock started, work from the earlier date.
Who has to be on the register?
Anyone employed, engaged or appointed (including through labour hire) who performs an education and care role at the service and is not a visitor, paid or unpaid. That includes educators, early childhood teachers, regular volunteers, students on placement and support staff such as cooks and cleaners.
Do I upload documents to the register?
No. The register holds details, not files. Your approved provider or nominated supervisor sights each credential, then records the details with the date sighted and who sighted it. You keep the documents in your own records.
