What is a Career Passport? Portable credential verification for care workers
A Career Passport is a portable, reviewed record of a care worker's credentials that travels with them between employers. Here is how it works.
Care workers in Australia spend a lot of time proving they are qualified to do work they are already doing. Every new employer asks for the same police certificate, the same qualifications, the same screening clearances, often re-keyed into a different form or emailed as photographs of paper. A Career Passport is built to end that repetition.
What a Career Passport is
A Career Passport is a portable, reviewed record of a care worker's credentials that travels with the worker between employers. Instead of a fresh paperwork round at every job, a worker builds their passport once and shares it with any provider that uses Koora.
A passport brings together the things a care role depends on:
- Identity and working rights
- A police certificate or NDIS Worker Screening Clearance
- Working With Children Checks where the role requires them
- Qualifications and training, such as a Certificate III in Individual Support
- Work history and feedback from previous providers
The passport is held by the worker, not the employer. When a worker moves to a new provider, their credentials move with them.
Reviewed, and verified where it counts
Not every credential can be checked the same way, and it matters that the language is precise.
Koora reviews every credential a worker uploads: a person looks at the document, checks it is the right type, current, and matches the worker's identity. For some credentials, Koora can go further and verify against an authoritative source, such as a state Working With Children Check portal, AHPRA for registered health practitioners, or a government ban register. Police checks, qualifications and training records are reviewed rather than verified at source.
A passport reflects a worker's compliance at the time it is checked. It is a current-state picture, not a permanent guarantee, which is why credential expiry tracking matters as much as the original review.
Why it helps workers
For a worker, the value is simple. Reviewed once, carry everywhere. The same passport is ready to share with the next employer, so onboarding is faster and there is less paperwork before a first shift. Koora also tracks expiry dates and reminds a worker before a credential lapses, so a police check or first aid certificate does not quietly expire between jobs.
Credentials are increasingly portable across the care sector. From mid-2026, the Australian Government has proposed a single national worker screening check that would be recognised across both Aged Care and disability. A worker-held passport is positioned for exactly that kind of mobility.
Why it helps providers
For a provider, a Career Passport shortens the gap between hiring a worker and being confident they are compliant. A worker who arrives with a reviewed passport has already done the credential legwork, so onboarding is quicker and the records are structured rather than scattered across inboxes and filing cabinets.
A passport does not remove a provider's legal obligations. Providers remain responsible for their own compliance, including any sighting or record-keeping duties that sit with them under the relevant rules.
