What holds in every state

  • A clearance is valid for up to five years and is nationally recognised: you do not reapply when you move, and you renew in one jurisdiction only, where you currently live.
  • Every application and renewal names an employer, who verifies it in the NDIS Worker Screening Database. The NDIS Commission says the request expires after 28 days; NSW, Victoria, Queensland and the NT give employers 30 days.
  • Registered NDIS providers need clearances for workers in risk-assessed roles and key personnel, keep written records of those roles and workers (worker records are kept for seven years), and remove a worker from risk-assessed roles once the clearance expires, unless a state work on application rule covers a renewal lodged before expiry.
  • The first clearances were issued from February 2021 and began expiring from February 2026, so 2026 is the first renewal cycle.
  • Holders are subject to ongoing monitoring, and linked employers are alerted when a worker's status changes.
  • Aged Care accepts an NDIS Worker Screening Check in place of a National Police Check.
  • The new NDIS Commission portal launches on 12 October 2026.

What Koora checks

Reviewed. Koora does not verify NDIS Worker Screening clearances against the NDIS Worker Screening Database today; source verification is on Koora's roadmap. The compliance engine checks the clearance against the requirements of each role, and Koora tracks its expiry date. A person reviews the evidence when a worker shares their Career Passport or a provider requests access, or across an organisation's own records where Crew is attached. Registered providers still verify and link their workers in the NDIS Commission portal themselves.

Your team reviews each credential in Koora, or Crew does it for you. The provider keeps the legal responsibility for who they engage.

Frequently asked questions

How long is an NDIS Worker Screening Check valid?

Up to five years from the date of issue, unless it is cancelled or revoked. It is valid in every state and territory.

When can I renew my NDIS Worker Screening Check?

Up to 90 days before it expires, through the worker screening unit in the state or territory where you currently live. You renew in one jurisdiction only, and your employer verifies the renewal.

How much does an NDIS worker check cost?

Each state sets its own fee. For paid workers it ranges from $112 in NSW to $163 in the ACT. Volunteers pay nothing in NSW, Queensland, SA and the ACT, and in Tasmania under current fee relief; WA charges $11, the NT $14, and Victoria waives the fee for volunteers in risk-assessed roles.

Can I use my NDIS check in another state?

Yes. NDIS worker screening checks are nationally recognised, so you do not reapply when you move.

Can an employer look up an NDIS clearance?

Through the NDIS Worker Screening Database. Registered providers check status, expiry and eligibility to work through the NDIS Commission portal; unregistered providers and self-managed participants apply for access. Access is through the portal rather than an open search.

This is general information, not compliance advice. Always confirm requirements with the relevant regulator, and remember that providers keep the legal responsibility to sight credentials and decide who can work.

We work hard to keep everything accurate, and our compliance engine keeps up with the rules as they change. Even so, we might get a detail slightly wrong or miss something. No one's perfect. If you think something here needs updating, email us at resources@koora.care. We would genuinely rather know, because we all do better when we help each other get it right.
